1. Acceptance of Terms

By accessing or using the services provided by Sophia Healing Centre, you acknowledge that you have read, understood, and agree to be bound by these Terms and Conditions. If you do not agree with any part of these terms, you should refrain from engaging with our services.

2. Services Offered

Sophia Healing Centre provides integrative health and wellbeing services, which may include general medical consultations, counselling, psychotherapy, mental health care, and complementary or natural medicine approaches. All services are delivered with professional care and clinical judgement. We reserve the right to modify, suspend, or discontinue any service where clinically or operationally necessary.

3. Patient Rights and Responsibilities

Patients are encouraged to participate actively in decisions regarding their health and wellbeing. Patients agree to provide accurate information, attend appointments punctually, behave respectfully toward staff and other patients, and take responsibility for fees associated with their care.

4. Fees and Payments

  • Service Fees

Current consultation fees and service charges are available on our website and may be updated periodically.

  • Payment Methods

Payment is required at the time of your appointment unless prior arrangements have been made. We accept EFTPOS and credit card payments for in-clinic visits. For Telehealth consultations, an invoice will be emailed following the session, and payment is expected within three working days. A late payment fee may apply to overdue accounts.

  • Cancellation and Rescheduling

Appointment times are reserved specifically for you. Please provide at least 24 hours’ notice for cancellations or changes. Missed or late cancellations may incur a cancellation fee.

5. Confidentiality and Privacy

All personal and health information is treated with strict confidentiality and managed in accordance with applicable New Zealand privacy and health information legislation. Information will only be shared with your consent or where required by law or for your clinical care.

6. Clinical Limitations and Emergencies

Our services do not offer emergency or crisis care. If you are experiencing an urgent or life-threatening situation, please contact emergency services or attend your nearest hospital immediately.

7. Third-Party Platforms and Technology

We may use trusted third-party software platforms for scheduling, telehealth, payments, and records. These operate under their own terms and privacy policies. Sophia Healing Centre is not responsible for technical issues or interruptions arising from these external services.

8. Termination of Services

Services may be suspended or terminated where behaviour is disruptive, unsafe, repeatedly non-attended, or where continuation is not clinically appropriate. Where possible, referrals or alternative care options will be offered.

9. Changes to These Terms

These Terms and Conditions may be updated from time to time. The most current version will be available on our website. Continued use of our services constitutes acceptance of any updates.

10. Governing Law

These Terms and Conditions are governed by the laws of New Zealand. Any disputes will be subject to the jurisdiction of the courts of New Zealand.

11. Communication and Electronic Correspondence

Sophia Healing Centre may communicate with patients by email, telephone, text message, or other electronic means for appointment reminders, invoices, clinical information, or administrative matters. While reasonable steps are taken to protect privacy, electronic communication carries inherent risks. By engaging with our services, you consent to receiving communications through these channels unless you request otherwise.

12. Telehealth Services

Telehealth consultations are offered for convenience and accessibility but may not be appropriate for all clinical situations. Technical interruptions may occur and privacy cannot be guaranteed to the same extent as in-person consultations. Emergency or urgent medical issues require immediate in-person or emergency care. By participating in Telehealth, you consent to these limitations.

13. Consumer Rights and Complaints

Sophia Healing Centre is committed to providing respectful and high-quality care. Patients have rights under the Code of Health and Disability Services Consumers’ Rights. If you have concerns or complaints, we encourage you to raise them with us directly. You may also contact the Health and Disability Commissioner for independent support or advice.

14. Professional Standards and Limitation of Liability

All services are provided with reasonable care, skill, and professional judgement. Healthcare outcomes cannot be guaranteed and individual responses to treatment may vary. Sophia Healing Centre is not liable for loss or damage except where required by law.

15. Outstanding Accounts

Where accounts remain unpaid, Sophia Healing Centre reserves the right to recover reasonable administrative or collection costs associated with outstanding balances.
